Why We Built FarmDocs: A Simple Platform For Managing Complex Harvest Season

why we built farmdocs

Table of Contents

Every year, millions of bushels move from field to storage with limited real-time oversight. For small and mid-sized producers, the lack of clear, connected harvest records doesn’t just create inefficiencies; it impacts settlement speed, storage planning, and ultimately profitability.

Our intent with FarmDocs is to change that. We built it to give small and mid-sized producers a platform that makes harvest and inventory management simple, accurate, and connected from start to finish. Designed for real on-farm routines, FarmDocs ensures clarity at every stage of harvest without adding unnecessary complexity.

Two Decades of Building Agriculture Solutions

FarmDocs was not built overnight. For more than 20 years, Folio3 AgTech has been developing digital platforms for some of the most prominent names in agriculture. We’ve partnered with seed producers like Gro Alliance and testing and certification organizations such as ICIA. Our custom crop management software has supported everything from supply chain visibility and compliance tracking to enterprise-scale data management.

This work gave us a clear vantage point. Technology delivers real results when it reflects the way agriculture actually operates, not when it forces generic workflows. It also showed us that challenges around accuracy, traceability, and timely decision-making are shared across farms of every size.

While large farms could absorb the cost of enterprise platforms, smaller producers often worked without reliable systems at all. And nowhere was this more obvious than during harvest. The stage that determines storage planning, contract fulfillment, and cash flow was still being run on paper slips and scattered spreadsheets.

Why Harvest Operations Needed A Better Solution

Harvest is the point where everything converges: yields, contracts, storage, and cash flow. For small and mid-sized producers, it is also the stage where inefficiencies hit the hardest. Unlike planting or input planning, which can be spread across months, harvest decisions happen in real time, with little margin for error.

In our conversations with producers, four recurring pain points stood out:

  • Records that don’t keep up with reality: Paper tickets and manual notes often lag behind the actual movement of grain. By the time spreadsheets are updated, the day’s work is already ahead, leaving managers unsure of what’s in the field, in storage, or already delivered.
  • Inventory planning that relies on guesswork: Without accurate, up-to-date bin data, farms risk overfilling, underutilizing space, or making last-minute shifts that create bottlenecks. This directly impacts both efficiency and quality preservation.
  • Delayed or disputed settlements: When records are incomplete or inconsistent, reconciling deliveries with buyers takes longer. In some cases, missing tickets or mismatched tallies lead to disputes that stall payments and strain relationships.
  • Software that isn’t built around the harvest process: The tools available to smaller farms are either too simplistic to handle the complexity of harvest or too complex to be practical in the field. Neither option provides the clarity producers actually need during their busiest season.

For producers managing thousands of bushels in a narrow window of time, these inefficiencies aren’t minor; they directly affect profitability and peace of mind. That is why harvest became the focus point for the launch of FarmDocs: a stage too important to be left to paper, guesswork, or systems that don’t fit.

Solution Built With Farmers, For Farmers

FarmDocs was never meant to be another top-down software project. From its earliest days, we worked side by side with producers to ensure it matched the realities of harvest. A key part of that process was our partnership with UnCommon Farms, which played an active role in shaping the platform from concept to launch.

UnCommon Farms brought decades of on-farm experience and a unique perspective from managing harvest at scale. Their teams tested early prototypes, challenged assumptions, and provided candid feedback on what did and didn’t work in the field. Whether it was ticket entry, bin tracking, or handoffs between crews, they helped us refine each workflow until it fit seamlessly into real harvest routines.

This collaboration went far beyond advisory input; it was a co-development effort. By blending Folio3’s technology expertise with UnCommon Farms’ operational knowledge, FarmDocs became a system that reflects the way producers actually work. Built with farmers, for farmers, it combines practical on-farm workflows with the power of AI, making harvest management both simple and forward-looking.

How FarmDocs Simplifies Harvest and Inventory Management

FarmDocs isn’t just a digital ticketing tool. It’s a web and mobile-based solution powered by artificial intelligence that makes harvest records more reliable. From automatically detecting duplicate entries to reconciling loads against bin capacity, the platform uses technology to reduce human error while keeping workflows simple. That way, producers gain confidence that their harvest and inventory data are always accurate and up to date.

Who FarmDocs Is Built For

FarmDocs was designed with one audience in mind: producers who need clarity during the busiest weeks of the year. It’s not a scaled-down enterprise system or a generic farm app. It’s a platform purpose-built for the realities of harvest and storage.

  • Small and mid-sized crop producers who manage significant volumes but can’t justify the complexity of enterprise software.
  • Cooperatives and groups that coordinate harvest across multiple farms and need a single source of truth.
  • Operations relying on seasonal crews, where every extra step in recordkeeping risks confusion or lost data.
  • Managers and owners who want confidence that every load, bin, and delivery is accounted for in real time.

If harvest has ever felt harder to track than it should be, FarmDocs was built for you.

Managing The Entire Harvest Operation the Right Way

Harvest isn’t one task. It’s a chain of activities that need to stay connected: grain moving from fields, trucks lining up, bins filling, and deliveries heading out. When these steps are tracked separately on paper, boards, or spreadsheets, gaps appear. FarmDocs connects them into one continuous workflow so producers don’t lose visibility when it matters most.

  1. Inventory Management

Inventory during harvest is constantly in motion, and traditional spreadsheets rarely keep up. FarmDocs provides a live view of grain levels across every bin and location, automatically updating as loads move in or out. Producers no longer need to estimate capacity or rely on end-of-day tallies. With accurate, real-time inventory, storage planning, and contract decisions become faster and more reliable.

  1. Ticket Management

Paper tickets are easy to misplace and often delay reconciliations. FarmDocs digitizes every ticket the moment it’s created, linking it directly to loads, trucks, and bins. This creates a clear chain of accountability that crews can manage in the field with minimal effort. At season’s end, settlements are smoother because tickets are complete, traceable, and aligned across all parties.

  1. Field-to-Delivery Traceability

Harvest records are most valuable when they cover the entire journey of grain, from its origin in the field to its final delivery. FarmDocs connects every step, including carts, trucks, bins, and customer shipments, into one traceable system. Producers gain not only operational clarity but also the ability to verify compliance and contracts with confidence, supported by a transparent record of movement.

Smarter Harvest Record Management With AI

Even today, paper tickets are part of daily harvest routines. They’re quick in the field, but they slow things down later. Someone still has to key them in, reconcile them, and chase down anything that went missing. For small and mid-sized producers, that often means long nights, trying to match paper records against actual grain movement.

FarmDocs tackles this in a simple way. Its computer vision capability turns paper tickets into digital records in seconds. A quick photo on any device captures the load details automatically and syncs them across the system. Instead of retyping or rechecking, crews and managers start with clean, accurate data that’s instantly available. This makes paper less of a liability, helping producers digitize without asking them to abandon familiar harvest workflows.
